Are you bringing a new team member on board? It’s important to ensure they’re fully equipped to succeed with PensionPro from day one. We’re here to help guide you through a few key steps and best practices to help you implement a smooth and effective onboarding process.
Getting Started
Begin by adding the new employee to PensionPro. Once added, be sure to communicate their username to them. After they are set up as an employee, they will receive a temporary password via email—make sure they know to expect this message. If for any reason they cannot locate the temporary password email, no problem—they can simply click the “Reset Password” link on the login page to create a new one.
Next Steps: Logging In and Exploring Support Resources
Once your new employee has their login credentials, and they have signed in successfully, they should begin familiarizing themselves with the platform. We would also recommend having them access and view the Help Center by clicking the chat bubble icon in the upper-right corner of PensionPro. This will open a Single Sign-On (SSO) link to the Help Center, where they can search for helpful articles or submit a support ticket to our team. It is also helpful to let new users know they can access help articles from any screen within PensionPro by clicking the question mark icon. This shortcut will take them directly to the article related to the page they’re currently on in PensionPro. For additional guidance, have them review the Getting Help with PensionPro article.
Training with ProPass
If your firm is subscribed to ProPass, we recommend starting new employees with the New User Orientation course, followed by the Tasks & Projects course. These are a great starting point for any new team member. Once they’re comfortable with the foundational content, they can move on to additional courses based on their role and responsibilities. Suggested courses include:
- Distributions
- Managing Projects
- Building Project Templates
- Blast Email
If your firm is not currently subscribed to ProPass, we encourage you to learn more by visiting the PensionPro ProPass article or by submitting a ticket through the Help Center with any questions.
Firm-Specific Features
It is also important to communicate to your new team members which features your firm is currently using within PensionPro. This gives them a good idea of where to focus. For example, if your firm is on the Business Tier, you may recommend they learn about the different types of projects (e.g., Annual Administration, Distributions, Loans, General Web Collection, etc.), and possibly Merge documents. However, if your firm is using the Team tier, some of those features won’t be applicable. In that case, they may instead need to focus on Data Collection through PlanSponsorLink, along with any other features your firm utilizes.
Encourage Hands-On Learning
From here, we encourage your new employee to jump in and try it out for themselves! Let them navigate the system, test out features and get a better feel for how things work. Once they’ve had some hands-on experience, they can come back with any questions they may have
They can also review and edit their User Experience settings, as well as customize their dashboard to organize the information in the order it helps them best understand it. Everyone has their own preferences for viewing and organizing information, and PensionPro offers the flexibility to support that.
You may also want to launch a simple project for them to complete based on the areas you would like to make sure they understand. For example, you might create a test project under the Very Important Client 401(k) Plan, where they can practice entering data or completing tasks. This not only makes the learning process more interactive, but it also helps them apply what they’ve learned.
